State Club Meetings At each meeting of the State Club, one Local Arizona Chapter will act as Host Chapter. Assistance can be requested from another Local Chapter if necessary. Host Chapters should rotate in this order: Valley Suntascans, Arizona Sunbirds, Yavapai Winnies. Chapters may switch order. Responsibilities of the Host Chapter will include, but are not limited to; 1. Securing a location for the meeting, using a number of 20-25 rigs as a basis for negotiations. 2. Preparing an agenda, listing all activities of the meeting, including meals. At least one breakfast and one dinner shall be provided by the Host Chapter with the Chapter being reimbursed by the State Club for an amount up to Three hundred dollars ($300.00). Receipts are required for submission to the State. 3. Preparing a budget for the meeting that will establish the total cost and submitting the budget to the State President for approval prior to publication to the membership. 4. Notifying the Club Secretary as to the arrangements (Agenda, directions, cost, etc,) for distribution to the membership. Include the cost for two persons in a coach; reduced cost for a single person in a coach, added cost for a third person in a coach. 5. Arranging for other meals and activities that will be on a "no host" basis. Pot luck dinners and Social Hours are included. 6. Arranging other activities as the Host Chapter desires, inviting all attending to participate. 7. Providing parking assistance to arriving members and other tasks deemed appropriate as Host Chapter. 8. When 50/50 is used for fund raising the remaining half will go to the State Club at State meetings. At Chapter Meetings half will go the Chapter. Executive Board Meetings: 1.The President may call an Executive Board meeting via email and/or phone in an emergency to cover an issue that needs to be resolved prior to a scheduled state meeting. An example of this is calling such a meeting to pass a resolution to allow members to vote via email or mail on proposed bylaws changes.
